What Happens When a Member Changes Portals?

Modified on Wed, Dec 4 at 10:21 AM

When a member is moved from one portal to another in Engagement Rx, there are some potential changes that may impact both the member's experience and the way their data is managed by admins and coaches. This article explains what carries over and what does not during the transition.

For the member's perspective...

Everything remains the same EXCEPT for involvement they had in portal-level content. Members will keep their progress in system courses, autopilot challenges, and their to-do's and goals will all remain the same. The only access that members will no longer have is to those things that ONLY exist in the portal they are moving FROM, like portal-level courses and challenges (meaning those items that were custom created for the portal they are moving FROM). All dashboard and menu options update to reflect the content and configuration of the new portal.

Admin and Coach View of Member Profiles

All data is moved but data that is portal specific to the member's previous portal is NOT visible in the member admin; this is because the related data to describe the responses is portal specific.  This is by design and not a bug.

Assessment Responses

  • Assessments are portal-specific and are not visible from the member's profile after moving.

Automations

  • System-Level Automations: These remain on the member’s profile, retaining their state (e.g., in-progress automations stay in progress).
  • Portal-Level (custom) Automations: These are removed from the member’s automation tab after the move.

Flow Responses

  • Responses to portal-level (custom) flows are removed from the member's flow tab.

Courses

  • System-Level Courses: Information and progress carries over if the course is enabled in the new portal.
  • Portal-Level (custom) Micro-Courses: These do not carry over to the new portal.

Goals and Notes

  • Member Goals: All existing goals carry over to the new portal.
  • Member Notes: Notes remain carry over after the move.

To-Do Items

  • General To-Dos: These carry over to the member's to-do tab.
  • System Content To-Dos: These remain visible if they are linked to system-level content.
  • Custom Content To-Dos: These are removed after the move.
  • Flow To-Dos: To-dos linked to portal-level flows are removed after the move.

Trackers

  • System-Level Trackers: Information carries over if the tracker is enabled in the new portal.
  • Portal-Level (custom) Trackers: These are no longer visible from the member's profile.

Programs

  • Auto-Pilot Challenges: These remain visible in the member’s challenge tab if enabled in the new portal.
  • Portal-Level (custom) Challenges, Group Programs, and Programs: These are portal-specific and do not carry over after the move.

3 Tips to ensure a smooth transition from one portal to another:

  1. Confirm that all necessary system-level content is enabled in the destination portal.
  2. Inform members about potential changes in their experience, such as the loss of portal-specific content.
  3. Review and adjust member profiles after the move to align them with the new portal’s setup.
